All bookings made are accepted by Gateway Shared Services (the Company) on the following terms and conditions. You should ensure that you have read them before completing your booking. In these terms and conditions an “event” shall mean the individual exhibition, convention or conference that the booking has been made for.

  1. The Company shall endeavour to ensure that the published programme for an event is provided. However, the Company reserves the right to alter published programmes.
  2. Any opinions expressed by speakers are their own, and not necessarily those of the Company.
  3. The Company accepts no responsibility or liability for the loss of or damage to personal effects belonging to exhibition visitors.
  4. All exhibition visitor bookings must be made on-line.
  5. The Company reserves the right to cancel an event at its discretion, in which case its liability shall be limited to a refund of any booking fees paid to the Company.
  6. The Company will not be liable for any failure or delay in the delivery of the event, which is caused by circumstances beyond its control (a force majeure). Where such an event occurs, the obligations of the company will be suspended for so long as the force majeure continues, or cancelled at the discretion of the Company. The Company will not be obliged to reimburse to the visitor any payments made.
  7. The company will make reasonable efforts to describe the event accurately at the time of booking. Where an event include items such as refreshments, lunch, course materials the details of these will be communicated to you at the time of booking.
  8. The Company reserves the right to change the date or venue or any other aspects of any event at its discretion at any time prior to the date of the event. The Company will use reasonable endeavours to give a minimum of 21 days’ notice prior to the date of the event although some changes may by necessity be notified later. The Company's liability in respect of such change will be limited to a refund of booking fees if so requested.
  9. These terms are not intended to confer any benefit on a third party under the provision of the Contracts (Rights of Third Parties) Act 1999.
  10. All fees (where applicable) will be subject to VAT.
  11. All notices of cancellation must be in writing, which can include fax or email.
  12. If you wish to cancel your booking the following charges will apply.
    1. You may cancel your booking and obtain a full refund at any time up to 14 days after the day on which you have made your booking. Once 14 days have passed you may cancel your booking subject to the following charges.
    2. Between 5 and 21 working days before the event – a full refund will be given.
    3. If you cancel your booking less than 5 working days before an event – no refund will be given.
  13. Unless you have booked as a consumer (consumer has the same meaning as that given in the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013) in which case you will receive a full refund, any refund given under clause 12 a. above shall be reduced by a sum equivalent to any sum that the Company is obliged to pay to a third party for your attendance at the event, for example and without limitation if the Company has had to book and pay for hotel accommodation which cannot be refunded to the Company.
  14. Unless there is a good reason why we would have to refuse we will normally allow you to give your space to another person if you are unable to attend, without incurring any additional fees, subject to you telling us in writing and giving 24 hours notice prior to the event.
  15. You may not make any audio (including transcripts), video recording, take any photographs or create any images of an event without the prior written consent of the Company and any relevant intellectual property owners. Requests by you will not be unreasonably withheld but may be subject to an additional fee which the Company will advise you of on request.
