Applying for work online
It’s now much more likely that you’ll be applying online. In fact, some large companies only accept online applications.
Most large companies, and local authorities, have downloadable application forms on their websites. You can usually:
- fill the form in and submit it online; or
- fill it in and email it back to them; or
- print it out, fill it in by hand and post it back to them.
One advantage of downloadable application forms is that you have plenty of time to practice filling in the form until you have a final copy you feel is good enough to send.
If you are sending the form back by email make sure you have the correct email address, and remember to attach the completed form!
Some large companies now use sophisticated online application systems, which let you apply directly over the internet. You may even be able to track your application online.
Don’t be lulled into a false sense of security. Applying online isn’t an easy option, even if it does let you hide your handwriting! You must be just as well prepared for this as you are for filling in paper application forms.

But, there are a few extra things to watch out for. Here are some tips on getting it right.

Filling in online application forms
- Don’t use an internet café – you’ll need privacy, and a computer that won’t fold on you if you run out of change
- Online application forms are just as formal as paper ones, so fill them in with the same care and preparation as a paper form
- Check that any personal information you provide online will be secure (protected by the provisions of the Data Protection Act) – online application forms usually have a statement about this, if not check with the company
- If possible, print out the form and any guidelines that come with it - practice on the printout before you fill in the online form
- If you can’t print out a paper copy of the form, create a separate Word document with your answers to the longer questions - spell-check everything before copying and pasting your answers onto the online form
- Print out and read the job description carefully - keep it next to you when you apply
- Save your work every few minutes
- Be careful when choosing from drop-down menus - check that you have clicked the right option
- If possible, print a copy of the completed form before you click the send button! This will let you, or someone else, check it for mistakes
- If you can’t print out the form, save the Word document you used to practice your answers on -you can use it for other forms and to help you to prepare for the interview
- If you are cutting and pasting answers from previous job applications, check that they’re adapted to the form you’re currently filling in – the last thing you need is to paste in text from another employer’s form!
Using online application systems
If you are applying to a large employer they may have a web-based application system. In this case there are some specific rules to follow.
Do:
- your homework on the company, and on the job you are applying for, well before you even think of logging on to an online application system
- carefully read the instructions on how to use the application system before you begin
- keep a note of your registration details – your username (usually your email address) and password
- keep a note of your application reference number (if you are given one) – you may need it to track your application form
- keep your text short and to the point – the space for answers if often very limited
- remember to save your work as you go along.
Don’t:
- use an embarrassing email address – one that includes your name will help the employer to make the connection between you and your form
- use the back arrow on your browser (unless the instructions tell you otherwise) – you might lose some, or all, of your work.
